9 Ways to Save Time and Be More Productive
Clean Out Your Address Book
Having extra and outdated email addresses in your mobile or email address book can be a real time waster and can cause all kinds of mixups. (Who hasn't mistakenly sent an email to a co-worker's Gmail instead of their company address?). Next time you have 15 spare minutes clean out your address book and properly categorize work and personal email addresses for each entry.

i do a lot of these things, and i have to say that compared to a lot of people, my way of organizing really works. i think that the one thing to remember is that chances are you won't be able to get through EVERYTHING on some days and you can't blame yourself for that. the more tools you use and take advantage of, the more likely that you'll have success.
1Since search is so easy and fast and powerful now, and since 90% of my contacts are usually "dormant" or accessed very infrequently, what I did is I just exported all my contacts to one big page of plain text, copied that text into an email, and mailed it to myself at my online email account. Now if I need to find someone's contact info, I can just do a quick search on their name and it pops right up. There's just no need to maintain a whole mess of contact entries with tons of different text fields for entering each piece of information--blech! Do that for the dozen or so most-used contacts, but not for the other 90%.
